About the Role

As a part-time Administrative Assistant, you will be working with our team to complete engagements for First Nations and their subsidiaries. Your role will be fundamental in contributing to our continued success through supporting the team and optimising an organisation that was built on meaning and purpose.

You will learn how we provide peace of mind by “Making Business Fun, in addition to helping clients advance towards their personal goals.

What Your Day-to-Day Will Look Like

  • Maintain up-to-date client and employee information within the firm’s systems
  • Draft letters and prepare reports as needed for file completions
  • Assist with preparing and compiling year-end packages
  • Work collaboratively with team members and provide administrative support to leaders
  • Engage with clients directly to follow-up and assist with resolving outstanding inquiries
  • Assist with tax filings and ensure filing deadlines are monitored
  • Maintain workflow by analysing and refining standard operating procedures
  • Optimise efficiencies with helping to coordinate internal and external resources
  • Oversee and assist with achieving organisational goals while upholding best practices
  • Assist with data entry, proofreading documents, and maintaining records
  • Assist with firm receivables and follow-up, which may also include light bookkeeping
  • Track billable/non-billable hours spent on a daily basis

What You Need to Succeed

  • You hold a secondary school diploma in office administration, business administration, or a related field
  • You have multiple years of experience in office administration and have a history of long-term work with other organisations
  • You do not require sponsorship to work in Canada and are able to work from our head office in Calgary
  • You are adaptable with strong interpersonal and time management skills
  • You have excellent written and verbal communication skills to draft letters, prepare reports, and interact with clients and team members
  • You believe in the importance of delivering quality client service
  • You are proficient with the use of computers and office software to manage tasks efficiently
  • You have high attention to detail for accurate data entry, proofreading documents, and maintaining records
  • You enjoy working with others to solve problems and taking the initiative to resolve unexpected challenges
  • You have the ability to work independently and adapt to change in a fast-paced environment
  • You understand discretion and confidentiality when handling sensitive information, such as financial records or employee documents
  • You have a strength in analytical skills with exceptional organisational and multitasking abilities
  • You have an open-mindset and eager to learn from others’ perspectives
  • You have an interest in Indigenous culture and related issues
  • Your past experience with Sage 50 or another accounting system would be an asset (although not required)
